Event Policies
The short version, in plain language.
Weddings, luaus, and gatherings are separate from overnight lodging reservations. No event is confirmed until Lotus Gardens provides written approval, the gathering agreement is signed, and the required retainer has been received.
- Proposed payment schedule: 30% event retainer at signing · 40% due 90 days before the event · final 30% due 30 days before the event.
- A separate refundable security deposit applies.
- Event insurance may be required; approved vendors may be required; additional fees apply.
- Open-invite events are prohibited, and attendance may not exceed the approved number.
- Public promotion of an event requires written approval.
- Event hours, weather, and rescheduling terms are established in the written agreement.
- Vendor costs follow each vendor's own cancellation policies.

Can Lotus Gardens host 100 guests?
Lotus Gardens may accommodate private events with up to 100 approved daytime guests. Final capacity depends on the event design, parking, restrooms, tent plan, insurance, and property approval.
How many guests can stay overnight?
The residence sleeps up to eight registered overnight guests. Event attendance and overnight occupancy are separate.
Can we have a tented wedding?
Tented weddings are considered by request. Tent size, placement, installation, weather planning, lighting, electrical service, and fire safety must be approved.
Can we host a family luau?
Yes. Private family luaus are considered by request and may include approved catering, seating, music, and entertainment.
Can we serve alcohol?
Alcohol plans must be disclosed during the inquiry process and are subject to applicable laws, insurance requirements, approved service providers, and the gathering agreement.
Can we have music and dancing?
Music and dancing may be considered. Sound equipment, performance hours, placement, and volume must be approved in writing.
Is an event included with an overnight stay?
No. Events require separate approval, pricing, agreement, insurance, and security deposit. Reserving the residence does not automatically authorize a gathering.
Where will 100 guests park?
Every larger gathering requires an approved transportation and parking plan. Depending on the event, shuttles, off-site parking, or professional parking management may be required.
What does a tented celebration involve behind the scenes?
Depending on the design, tented events may require an approved tent company, a site plan with tent dimensions and an anchoring or ballast plan, fire extinguishers and emergency exits, temporary lighting and electrical service, catering equipment, portable restrooms, a waste-removal plan, a rain-and-wind plan, a setup and breakdown schedule, parking attendants or guest shuttles. Your host and the approved vendors handle this planning with you.
Who do we work with on vendors?
Bring your own ideas or ask for direction — caterers, tent companies, musicians, and photographers are reviewed and approved per event so everything on site meets the property's requirements.
